How to Conduct a Borad Meeting Online

Online meetings are not as effective as those held in person, but they do offer more flexibility for participants and are more easily monitored. However, they also require more appropriate board behavior, and come with their own unique difficulties. Here are some guidelines to follow:

If you can, begin the meeting by recording a video of everyone present to establish a connection in person with distant participants from the beginning. This will make it easier to avoid confusion when dealing with concerns or questions. It’s a good idea to include the agenda at the beginning of a meeting and encourage participants to ask questions or make comments throughout the discussion.

Test all cameras prior to the meeting to ensure that they’re working as intended. Directors should also dress professionally and appear camera-ready closing any tabs or windows that could be distracting and avoiding glare from windows or any other potential distractions. It’s a good idea to muffle the microphone when the director isn’t talking, and to use chat to let the moderator know the director is required to take a break from the video.

It’s easy for the board to include the opinions of all members in its decisions in the event that it uses a board management software that includes voting/polling functions. This will help everyone feel valued and part of the team. It’s also a good idea if the chair or other officers take the time to remind everyone of any post-meeting follow-ups, like completing a board survey or collecting e-signatures.
